IT Services for CPA and Accounting Firms in Deerfield Beach, Boca Raton and South Florida

If you are looking for IT support for accounting firms in South Florida, you need a provider that plans around your calendar. When your tax software slows down in March or your client portal goes offline the week before the April deadline, it costs billable hours you cannot get back.

Accounting firms also hold some of the most valuable data a criminal can steal: Social Security numbers, bank details and full financial histories. That is why federal rules treat tax preparers as financial institutions with specific security obligations.

QuestingHound supports CPA firms, tax practices and bookkeeping firms across Boca Raton, Broward and Palm Beach counties from our office at 3155 SW 10th Street in Deerfield Beach.

Why QuestingHound

  • 25+ years supporting South Florida businesses, with a specialty in professional firms that handle sensitive client data
  • The IRS "Security Six" safeguards in place and managed, from multi-factor authentication to encrypted backups
  • Support for CCH Axcess, UltraTax CS, Lacerte, ProSeries, Drake, QuickBooks and the client portals your firm runs on
  • Tax season readiness planning, so systems are tested and tuned before January
  • Trilingual support (English, Spanish, Portuguese) and local technicians based in Deerfield Beach

After many years in business, Questinghound has completely changed our perception of IT support. We have never experienced such a high level of comfort and satisfaction with any other service provider. Their exceptional service has far exceeded our expectations, and we wholeheartedly recommend Questinghound to anyone seeking IT support.

Why Accounting Firms Need More Than Basic IT

Under the FTC Safeguards Rule, tax and accounting firms are considered financial institutions and must keep a Written Information Security Plan. The IRS publishes a template for it (Publication 5708) and names six baseline protections every practice should have, its "Security Six": antivirus software, firewalls, backup, drive encryption, multi-factor authentication and a VPN for remote access.

Many firms have some of these protections in place, but not all six, and few have them consistently configured and monitored.

The other problems we see most often:

  • Tax season exposes every weakness. Slow workstations, overloaded servers and unreliable internet all surface at the worst possible time.
  • Client files travel by email. Returns, statements and W-2s get sent as unencrypted attachments when a secure portal should be doing the job.
  • Phishing targets preparers directly. Criminals pose as new clients or the IRS to get into practice software and file fraudulent returns.
  • Seasonal staff need access fast, then need it removed. Temporary preparers often keep logins long after April 15.
  • Backups have never been tested. Most firms only find out whether they can restore client data when they need to.

Our IT Services for Accounting Firms

Assessment and Onboarding

We start by mapping where client data lives, how it moves between your team and your clients, which systems you depend on during tax season, and who has access to what.

The first 30 to 60 days focus on stability and closing gaps. Everything gets documented, so you have a clear record of how client data is protected. Our IT onboarding process walks through the steps.

Security Six Protections, Managed

We put all six of the IRS's baseline protections in place and keep them running: antivirus and endpoint protection, firewalls, backup, drive encryption, multi-factor authentication and secure VPN access for remote work.

These are not one-time installs. We monitor them, keep them updated and document what is in place, so you have answers ready when an insurer or auditor asks how client data is protected.

Tax and Accounting Software Support

We support the tax preparation, accounting and practice management platforms your firm uses, including CCH Axcess, UltraTax CS, Lacerte, ProSeries, Drake and QuickBooks, along with the servers, hosted environments and workstations they run on. That covers installs, annual updates, user access, performance and integrations.

If your tax software is still running on an aging office server, we can plan a move to hosted or cloud infrastructure that gives your team reliable access from the office or from home.

Tax Season Readiness

In the fall, we review the environment before the busy season starts: hardware health, software updates, backup tests, remote access and capacity. Problems get fixed in November instead of discovered in March.

During tax season, monitoring and support are tuned to your deadlines, including the October extension crunch.

Secure Client File Exchange and Email Security

We set up secure client portals and encrypted email, so tax documents and financial statements stop traveling as plain attachments. Layered email security and security awareness training help your staff spot the fake client and fake IRS emails that target preparers every season.

Backup, Recovery and Incident Response

As part of our data backup and recovery services, we back up client files, tax software data and email, keep backups isolated from ransomware, and test recovery on a schedule.

If something does go wrong, we help you respond quickly, including the steps the IRS recommends, such as reporting the incident to your IRS Stakeholder Liaison and notifying affected clients.

What the Data Says

The IRS reported that nearly 300 data breaches were reported by tax professionals in the first half of 2025, affecting as many as 250,000 clients, in its August 2025 Security Summit release.

Florida adds its own requirements. Under the Florida Information Protection Act, businesses must take reasonable measures to protect personal information, notify affected individuals within 30 days of determining a breach occurred, and notify the Florida Department of Legal Affairs when a breach affects 500 or more Floridians.

Why South Florida Accounting Firms Choose QuestingHound

Professional firms that handle sensitive client data have been a specialty of ours for years, and we plan our work around your calendar rather than asking you to plan around ours.

Our office is at 3155 SW 10th Street in Deerfield Beach, minutes from Boca Raton and within easy reach of firms across Broward and Palm Beach counties. When a workstation fails in the middle of tax season, a technician can be there in person.

Our team speaks English, Spanish and Portuguese, and our founder John Boden still works directly with clients. If you are weighing a change, here is what switching IT providers actually involves, and how our managed IT services in Deerfield Beach work. Firms preparing for a cyber policy renewal can also see our cyber insurance readiness services.

Who We Support

We work with CPA firms, tax preparation practices, bookkeeping and payroll firms, and fractional CFO and advisory practices across South Florida. If your business handles client financial data and lives by filing deadlines, our services are built for you. We also provide dedicated IT support for construction companies, law firms and title companies.

Get Started With IT Support for Your Accounting Firm

The best time to fix your firm's IT is before tax season, not during it. Switching providers is far less disruptive than most firms expect when the transition is handled by a team that has done it many times.

If you are not sure how well your firm's client data is protected, a conversation costs nothing and gives you a clear picture of where you stand.

Founder, QuestingHound Technology Partners
John Boden founded QuestingHound Technology Partners in 2001 with a straightforward premise: small and mid-sized businesses in South Florida deserved the same quality of IT support that large enterprises took for granted — at a price that actually made sense for them. More than two decades later, that premise still drives everything QuestingHound does.

John brings over 25 years of hands-on IT experience to every client relationship and has personally overseen hundreds of technology assessments across Broward and Palm Beach County. His approach is built on accountability — when QuestingHound makes a mistake, they own it — and on the belief that trust is the foundation of any useful IT relationship.
